Contact Full Search

Searching for a Contact

  • Select Contact > Full Search  option from the red navigation bar.
    • Choose an option from the Search: drop-down:
      • Business Name: Search for all Contacts assigned to a Business Name
      • Last Name: Search for all Contacts with a specific Last Name
      • First Name: Search for all Contacts with a specific First Name
      • Work Phone: Search for a Contact by their Work Phone number
      • Mobile Phone: Search for a Contact by their Mobile Phone number
      • Home Phone: Search for a Contact by their Home Phone number
      • Email: Search for a Contact by their Email address
      • Account Number: Search for a Contact by their assigned Account Number
      • Added: Search for Contacts by their Added date
      • Last Change: Search for Contacts by their Last Change date
    • Blank Field:
      • Enter the corresponding information into the second blank field
        • Example: If you chose Email in the Search: drop-down then you would enter the client’s email address in the second field.
        • Note: The information must match EXACTLY how it was entered under the Contact View in order to locate.
        • If you entered the phone number as (804) 550-0505 and search for 804-550-0505, the system will not locate due to the difference in characters. 
    • Choose the order the results appear by changing the Descending/Ascending drop-down:
      • Descending: Highest to lowest or Z to A
      • Ascending: Lowest to highest or A to Z
    • Choose a Contact Type from the drop-down:
        • Contact Type is assigned under the Contact View by your company.
          • Examples: Bridal, Corporate, Social, etc. 
    • Choose the Status of the Contact(s) to include in the search:
      • All: Search all contacts, regardless of status
      • Active: Search only active contacts
      • Inactive: Search only inactive contacts
    • Choose a Contact Owner from the drop down
      • Leave the drop-down blank to search all contacts or select a specific Contact Owner to search their contacts
        • Note: Contact Owner is assigned under Contact View
  • Once you have entered your search preferences, click the Search button to see the results

Search Result Options

  • Click the business name, last name, or first name in the results to open the Contact View
  • The Actions drop-down offers multiple options:
    • Add Note: Add a note to the Task & Notes tab under the Contact View
    • Add Event: Create a new event with the selected contact
    • Add Task: Create a task for the contact that will show in the Task & Notes tab under the Contact View
    • Copy: Create a copy of the contact. The system will add {Copy} at the end of the First Name, Last Name, and Email to prevent duplicate contacts
    • Convert: Change from a Contact to a Lead
    • View/Edit: Opens the Contact View
    • Event History: Opens the Contact View so that you can view the Event History tab

Other Options

  • Add New Contact: Open the screen to add a completely new contact
  • Change Log: See information about the contacts in your results
